Description:

Office Administrator, full-time, with 3-5+ years of experience, ideally. This role is primarily in-office, with a limited ability to work from home per company policy.

As our Studio Coordinator you will play a crucial role in the operations and success of our office. You’ll be supporting our team with administrative tasks, coordinating office operations with our remote colleagues in San Antonio, supporting marketing and business development operations, and promoting office culture.

Responsibilities:

  • Support day-to-day studio operations, including managing office supplies, coordinating continuing education events (lunch-n-learns) with vendors, managing parking garage validations for visitors, etc.
  • Manage applicants for job openings, including scheduling interviews, archiving applications, and preparing correspondence to applicants
  • Coordinate meetings with consultants, staff, and clients, including preparing the meeting room, ensuring necessary materials are prepared, and greeting visitors
  • Support and/or organize culture building events, such as firm sponsored holidays or birthday celebrations
  • Assist staff with project communications, including preparing meeting minutes, proposals, and other correspondence
  • Support project activities such as specifications, contract editing, revising schedules, etc.
  • Manage or assist in organizing project-related marketing activities, such as scheduling photoshoots, managing invitations for luncheons or dinners, etc.
  • Manage office subscriptions (both print and digital)
  • Document and track local office expenses
  • Ensure project documentation is archived by office standards
  • Support business development & marketing functions by attending events, assisting with proposal preparation, and by formatting documents

Skill Set/Requirements:

  • Experience in an administrative role, ideally within the AEC community
  • Be passionate and enjoy working in a creative environment. Ideally you have an interest in the design of places and buildings
  • Skills:
    • Proactive, assertive, organized, detail-oriented, and professional
    • Strong interpersonal skills, must work collaboratively with other staff members
    • Excellent time management skills – cognizant of deadlines and sense of urgency
    • Excellent verbal and written communication skills
    • Graphic design and layout abilities are strongly preferred
  • Tools:
    • Fluency in Microsoft Office Suite (esp. Word, Excel, Outlook)
    • Fluency with video meeting tools (Teams, Zoom)
    • Familiarity with Adobe Creative Suite, InDesign and CRM software a plus
    • Familiarity with online collaborative tools (Bluebeam) a plus
  • Other:
    • Occasional travel required (including to San Antonio, and surrounding counties), willingness to drive personal vehicle to project sites. Mileage will be reimbursed.
    • Must possess ability to lift approximately 25 lbs., occasionally.
