Employee Experience Manager
Responsible for maintaining a welcoming and culturally enriching environment for staff through advocacy, development and support of general human resources functions.
Duties span the full employee life cycle from recruitment to offboarding. This position acts as a full-service department of one giving great exposure to a wide breadth of responsibilities from tactical to strategic.
Responsibilities to include:
Recruiting
- Applicant tracking
- Manage relationships with recruiters
- Schedule interviews and responsible for candidate hospitality
- Review offers with hiring manager, make recommendations
- Extend offer to candidate and manage process through completion
- Manages University Outreach program and other student initiatives
Onboarding
- Evaluate onboarding program periodically
- Conduct new hire check ins 60 days after start date to get feedback, escalate any concerns or outliers
- Manage preboarding process and data entry
- Manage onboarding schedule and first day orientation
- Act as point of contact for all participants
Professional Development
- Collaborate with Staff Development leads to design and implement programs
- Work with managers to implement plan, update employee scorecard as needed
- Track promotions and coordinate leadership discussions
- Manage process for general staff along with managers
- Provide guidance and recommendations
- Manage and participate in annual review process
- Track succession plan with leadership
- Provide coaching and support to managers on how to effectively engage and motivate their teams
- Responsible for managing and coordinating training initiatives with leadership
- Schedule and manage calendar for important staff touchpoints
Engagement and Culture
- Collaborate with other leaders and teams to design and implement comprehensive employee engagement strategies and programs
- Conduct surveys, focus groups and collect data
- Ensure overall philosophy aligns with firm priorities and culture
- Reports on metrics, makes recommendations
- Oversee EDI and Wellness initiatives to ensure alignment with firm priorities
- Make pertinent announcements on staff calls
- Schedule staff check ins as needed
- Work with leadership to prioritize check ins
- Coach managers on best practices for staff check ins
- Raise any issues deemed relevant to leadership timely
- Work with leadership on sensitive employee matters, make recommendations and create action plans
- Serve as an advocate for employees, ensuring their voices are heard and their needs are addressed
- Take in concerns and/or requests from the staff, escalate employee matters to Partners as needed
- Partner with Workplace Experience Manager on culture building with the staff
- Work with leadership on any recognition actions (gifts, shout outs, events/meals), make recommendations as needed
- Ensure recognition is executed as planned
- Share feedback to leadership from staff on desired recognition actions
Compensation
- Regularly collect benchmarking data, compare to internal programs
- Work with leadership to determine compensation changes
- Coach managers on compensation discussions and manage statements
- Manage payroll tracker
Benefits and Time off
- Manage benefits administration for the firm
- Manage and periodically review broker relationship; make recommendations
- Act as point of contact for employee questions
- Manage renewal/open enrollment process
- Responsible for time off tracking
Offboarding
- Lead interviews for general staff; escalate concerns to leadership
- Administer RIFs; determine exit plans with leadership and manage logistics and data entry
Department Oversight
- Responsible for record keeping and documentation
- Manage and periodically review HRIS systems; make recommendations
- Oversee payroll tracker for all staff related changes, check for discrepancies
- Lead policy writing, review and application
- Manage budgets; use funds effectively
- Track and submit receipts and/or expense reports; escalate issues to leadership/CFO
Qualifications/Skills Required:
- Ability to interact and build relationships with all levels of staff
- Strong communication, interpersonal, and leadership skills
- Experience working with a wide range of personalities
- Comfortable presenting to executive level leadership
- Experience and interest to span a variety of responsibilities from tactical to strategic
- Collaborative mindset
- Ability to take data from various sources and synthesize themes
- Integrity in decision-making
- Ability to hold confidential and sensitive information
- Experience making decisions and judgment calls in sensitive situations
- Agility to work in an evolving environment; comfortable working in the ‘grey’
- Knowledge of employment law and HR best practices
- Ability to work independently and as part of a team
- Proficiency in HR software and systems
- 10+ years of relevant and progressive experience in Human Resources
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- Experience in AEC or professional services preferred
